Recruiting participants for UX research and usability testing

We find users who fit your digital product and your research question – screened, personally verified by phone, scheduled and reminded.

A usability test is only as meaningful as the people taking it. Someone who has never used an app when the test calls for experienced users, or who works in UX design themselves, skews the findings. WMM therefore recruits UX research participants against clearly defined target groups, quotas and usage criteria – such as how long and how often a product is used, devices and operating systems, experience with specific applications or competitor products, or a role in the purchasing and decision process.

Recruitment draws mainly on our own panel built in Germany and the WMM participant app. You can book UX participant recruitment as recruitment-only when test sessions, moderation and analysis are handled by your UX team or agency. Discussion guides, moderation, recording, transcription and reporting can be commissioned separately.

UX formats we recruit for

  • Usability tests of websites and online shops
  • App tests on smartphone or tablet, with quotas by operating system on request
  • Tests of software and web applications, including B2B tools
  • Prototype, clickable mock-up and concept tests in early development stages
  • UX and user interviews on needs, usage contexts and pain points
  • Users of B2B software in specific roles or industries – after a feasibility check

Process

  1. 1

    Briefing & feasibility

We clarify product, test format, target group, quotas, usage criteria, devices, dates and exclusions, and give an honest feasibility assessment.

  2. 2

    Screener

We draft or review the screener with you. Usage and experience are asked indirectly so the desired answers are not obvious.

  3. 3

    Panel & outreach

Outreach runs via panel and app. Responses are evaluated against the screener and pre-selected by quota.

  4. 4

    Personal phone screening

Suitable people are called personally. We re-check usage, experience and technical requirements – such as device, browser, camera or a stable internet connection for remote sessions.

  5. 5

    Scheduling & reminders

We arrange appointments, remind participants and organise replacements where agreed. You receive a recruitment list with the agreed details.

Quality checks

  • Screener answers compared with the existing panel profile
  • Personal phone follow-up on usage and experience before inviting
  • Exclusion of people working in UX, design, market research or your industry, as specified
  • Cool-off periods for frequent participants
  • Documented consent and GDPR-compliant processing of participant data

What we need for a quote

  • Test format (e.g. moderated usability test, prototype test, UX interview) and session length
  • Remote or in person (city if applicable) and required devices, operating systems or software
  • Target group with usage criteria, quotas and exclusion criteria
  • Number of participants and preferred scheduling window
  • Who pays incentives and whether moderation, recording or other services are needed

Timelines

  • Standard recruitment: 10 working days (2 weeks)
  • Shorter timelines are possible as express recruitment, subject to feasibility
  • Narrow usage criteria or B2B software users often need more lead time; we tell you before the project starts.

Cost components

UX participant recruitment consists of the same clearly separated items as our general participant recruitment:

  • Recruitment per person, depending on target group (e.g. consumers or B2B) and mode
  • Project setup and project management per project
  • Participant incentives – shown separately
  • Incentive management if WMM handles payouts
  • Not included unless booked: moderation, testing platform, studio, recording, analysis

We prepare a specific, non-binding quote after the briefing and feasibility check.

Limits

  • Product usage is checked for plausibility in the screener and by phone, but not verified technically.
  • Very narrow user groups, such as users of a specific professional software, cannot always be reached in the desired numbers. We check this upfront.
  • Access to prototypes, test environments or testing tools and any confidentiality agreements are agreed with you before fieldwork starts.
  • International UX recruitment is quoted individually.

Frequently asked questions

How do you make sure participants are the right fit?

With a screener that asks about usage and experience indirectly, a comparison with the panel profile and a personal phone call before inviting. Exclusions such as professional ties to UX, design or market research are applied as specified.

Do you also recruit B2B software users or niche audiences?

Yes, after a feasibility check. Role, industry and actual use of the software are covered in the screener and checked by phone. For very specific user groups we tell you before the project starts what is realistically achievable.

Are UX tests run remotely or in person?

Both, depending on the study. For remote sessions we check technical requirements such as device, camera and internet connection; for in-person sessions we agree location and dates with you.
